COC Events: Cancellation & Refund Policy

This Cancellation & Refund Policy (the “Policy”) applies to all event registrations and ticket purchases made through the official COC Events website, events.cocthailand.org.

1. General Principles

  • All refund requests must be submitted in writing (via email) to the contact specified for the event.

  • Refunds will be processed based on the date of the written request and the specific rules outlined for the event type below.

  • Processing a refund may take up to 10-15 business days after approval.

2. Participant Cancellation

Refunds for a participant’s cancellation will depend on the event type and the notice period provided:

A. General Events & Workshops (Single-Day/Short Duration)

Notice Period (from Event Date) Refund Entitlement
More than 14 days 100% of the registration fee, minus a 10% administrative processing fee.
7 to 14 days 50% of the registration fee.
Less than 7 days No Refund. The full fee is forfeited.
No-Show No Refund.

B. Long-Term Programs & Multi-Day Conferences

For events requiring significant advanced planning and commitment (e.g., certification courses, multi-day conferences):

Notice Period (from Event Start Date) Refund Entitlement
More than 30 days 100% of the registration fee, minus a 10% administrative processing fee.
15 to 30 days 50% of the registration fee.
Less than 15 days No Refund. The full fee is forfeited.
Withdrawal after Start Date No Refund.

C. Events with Limited Capacity/Specific Commitments

Certain events (e.g., personalized training, specific competitive entries) may have a non-refundable registration fee or different policy terms. This will be clearly stated on the specific event page at the time of registration.

3. Event Cancellation or Reschedule by COC Events

In the unlikely event that COC Events must cancel or significantly reschedule an event:

  • If the event is cancelled: All registered participants will receive a 100% refund of their registration fee.

  • If the event is significantly rescheduled (e.g., date change of more than 48 hours): Participants will be offered the option of attending the new date or receiving a 100% refund. Participants must inform COC Events of their choice within 7 days of the reschedule notice.

4. Transfers and Substitutions

A. Transfers to Another Event

Registration fees are generally non-transferable to a different event unless expressly approved by COC Events.

B. Substitutions (Replacing the Attendee)

Substitutions are generally allowed if the request is made in writing at least 7 business days before the event start date, provided the substitute meets any prerequisite criteria for the event. There may be a small administrative fee for processing the substitution.

5. Non-Refundable Items

The following are generally non-refundable:

  • Administrative/Processing Fees: Any stated non-refundable administrative fee deducted from a refund.

  • Third-Party Costs: Any costs incurred by the participant for travel, accommodation, or other related expenses.

  • Donations: Any voluntary donations made during the registration process.

6. How to Request a Refund

All cancellation and refund requests must be sent via email to:

  • Email: events@cocthailand.org

  • The email must include:

    • The Event Name and Date.

    • The full Name of the Registrant.

    • The Registration/Order Number (if applicable).

    • The Reason for Cancellation (for internal tracking).

COC Events reserves the right to modify this Policy at any time. The Policy in effect at the time of your registration will govern any cancellation or refund request.
